Job Responsibilities

Roles & Responsibilities: 

  • Responsible for handling and monitoring the order process, arranging the documents (Goods would be exported to various countries) as well as providing information to all parties involves.

  • Processing orders and other goods: Accepting orders and to be enter in the ERP software system according to a fixed procedure and have to be checked on dividing of varieties & registration status before shipment. Also checking of possible problems during the order handling regarding legislation (Phytosanitary, variety registration and im-/export).
  • Managing the orderflow: Planning orders according to protocol in combination with own insight, where necessary in coordination with the sales manager. Taking care of an appropriate balance between rush orders and/or orders conform protocol. Guarantee the delivery date and information within Seed Operations (Seed supply and Packing department) and other departments involved.
  • Answering questions and taking care of complaints of customers regarding delay, damages etc, look into the causes and make sure corrective measures are taken.
  • Organisation of the shipment: Taking care of the actual shipment with the transport companies, in consultation with the customer & Sales Manager.
    • Establish the appropriate way of transportation based on the instructions present regarding the available transporter and the urgency that is estimated according to feedback of the customer and the sales department. 
  • Entering the actual shipment and internal guidance of the pick-up.

  • Documentary settlement of the export shipment:Prepare the necessary documents (export) and take care of legislations. Take care of Country of Origin procedures (with Chamber of Commerce, customs). Take care of a complete file for import to the country involved including the controlling of additional in-/external Phytosanitary tests, obtaining the import permits / IVI’ (import instruction) of the NVWA (=NPPO) and the preparation of the documents regarding quality information.
  • External relationship management.Supporting and activating customers regarding import – export, Phytosanitary laws and legislations. This to make sure that in the long run (not order specific) the shipments can be handled easier. Re-direct questions of customers that can not be answered by Customer Services directly to the responsible colleagues. Taking care of follow-up c.q. check the anwers. Supply information to the customer regarding orders, supply, etc. Managing the shipping instructions & invoicing.
  • Support the business - Back up for specific and keeping track of specific knowledge of the relevant customers, crops and colleagues.
  • Reports to the Head Seeds Operations – SEA


  • Candidate must possess at least Bachelor's Degree/Post Graduate Diploma/Professional Degree in Business Studies/Administration/Management, Logistic/Transportation or equivalent.
  • Required language(s):Good in Verbal and Written English
  • Graduate with more than 4 years experience. Person having experience in international trade would be given preference.
  • Required Skill(s): Good communications skills. Works accurately, especially with regard to order data entry to avoid incorrect dispatch documents. Should have knowledge of basic trading & invoicing principle. Performs various activities as independently as possible and together with managers where required.
  • Preferably Senior Executive specialized in Agriculture/Forestry/Fisheries or equivalent.
  • Occasionally works under time pressure. Tasks are usually performed from desk. Frequent computer work.
